GENERAL PURPOSE: The New Member Administration Specialist supports the back-office new member experience, collaborating with the broader recruitment team to provide system support, data insight, lead follow-up, and additional administrative work. They are responsible for successfully converting leads of individuals interested in joining Girl Scouts into registered girl and adult members and presenting participation options to new members. This position is accountable to new member and volunteer growth key performance indicators and associated goals.
ESSENTIAL DUTIES & RESPONSIBILITIES ***(Employees are held accountable for all duties of this job)
Support statewide conversion pipeline by working assigned case queue and guiding potential adult and girl members through registration process and offering conversion support through direct contact
Follows up on new leads and referrals resulting from field activity in a timely manner.
Coordinate the placement of new members into appropriate troops and volunteer roles
Assist registered adults through the Criminal Background Check process
Prepares internal and external systems for recruitment events, including but not limited to Sign Up Genius, EventBrite, and internal calendars
Support local recruitment efforts through tabling and registration support at events, flyer distribution, and school and partner contact
Maintains recruitment materials and files (i.e. flyers) and manages recruitment supply inventory
Prepare reports, assess gaps, and complete data integrity projects, communicating the needs of each community to the Recruitment Resource Manager and Community Engagement Managers
Works collaboratively with all council departments to ensure council programs and initiatives are successfully marketed to girl and adult membership
Study and become proficient in girl and adult related trends, multi-cultural data and demographics, marketing and sales techniques, effective communication and knowledge of communities to effectively support the council membership recruitment plan
Provides professional, superior customer service to all internal and external customers, members, volunteers, staff, and other community contacts.
Actively participates in the development of environments that foster diversity, equity, inclusion, and access through words, actions, and attitude.
Respects the confidential nature of all information pertaining to staff, volunteers, and Girl Scouts both current and prospective.
Performs other duties as assigned.
PRIMARY CROSS-FUNCTIONAL RESPONSIBILITIES
Collaborate with other members of the recruitment team to ensure consistent delivery of the council recruitment methodology; supports Community Engagement Managers and Specialists with back-office participation insights, pre-event preparation, and solutions support
Works with the Volunteer Success team to connect first year volunteers and troops with ongoing support and training
Collaborate with the girl experience teams to drive participation in council and partner-led program opportunities for youth members awaiting placement.
Collaborate with the customer care and volunteer administration teams to ensure prompt response to customer inquiries and accuracy of membership data.
In accordance with the philosophy of Girl Scouts of Colorado, the person filling this position may occasionally be required to carry out or assist with other tasks in addition to the duties listed on this job description.

JOB QUALIFICATIONS
Education and/or Formal Training
No formal education or training requirements.
Experience
Experienced in sales process and management of leads. Proven experience in setting ambitious goals with energy and confidence to drive to achieve those goals.
Experience with in-person or telephone sales and utilizing guided prompts to develop customer relationships and convert members.
Experience in membership development, recruitment and/or retention
Experienced in data management using sales/customer management software (Salesforce) preferred.
Knowledge, Skills, and Abilities
Strong written, oral, and interpersonal communication skills
Ability to build rapport with a customer over the phone and through written communication (email and text message)
Excellent independent decision-making skills and strong resourcefulness.
Must be flexible, adaptable, and willing to thrive in an ever-changing/fast-paced environment.
Proficient in Microsoft Suite of programs.
Ability to quickly learn and adapt to changing technologies.

Bilingual and bicultural skills desired but not required.
Additional Requirements
Must be able to pass a criminal background check acceptable to GSCO standards.
Access to registered transportation with insurance at required state levels to conduct business statewide.
Valid driver's license and driving record acceptable to the Girl Scout insurance company standards.
MATERIAL AND EQUIPMENT DIRECTLY USED
Computer and related software, telephone, e-mail, fax machines, copiers and equipment commonly found in an office environment.
WORKING ENVIRONMENT & PHYSICAL ACTIVITIES
Prolonged periods of sitting at a desk and working on a computer.
Variable working schedule including evenings, weekends and some overnight stays.
Regular travel throughout council jurisdiction may be required.
Ability to communicate effectively with employees, volunteers, customers and vendors.
Access to transportation with insurance at required state levels to conduct business statewide.
Valid driver's license and driving record acceptable to the Girl Scout insurance company.
May be required to transport Girl Scout materials weighing up to 30 pounds from a vehicle to a building as well as preparing facilities for meetings, with or without assistance.
